Offering clients the flexibility to pay for Care Memberships in a single, upfront payment instead of monthly installments can simplify the process for both the veterinary clinic and the pet owner. Here’s a breakdown of how the Paid In Full (PIF) process works, including the enrollment steps, cost calculations, and how cancellations are handled.
1. Choosing the Paid In Full Option
When enrolling in a Care Plan, clients will have the option to select either a monthly payment structure or a Paid In Full option. If the client chooses the PIF option:
- The Care enrollment page offers both prices so the Pet Parent can choose between the Paid in Full or monthly. The client will be presented with a summary of the total amount due at the time of enrollment, giving them clarity and confidence in their payment choice.
This choice simplifies the payment process for clients who prefer to settle costs upfront, avoiding the need to manage monthly payments.
2. Payment Collection
Once the client selects the PIF option, they’ll be prompted to complete the payment for the full 12 months of coverage. After processing the full payment, the client is officially enrolled in their selected Care Plan for the next 12 months.
3. Cancellation Policy and Refund Process
The Paid In Full option operates under the same cancellation policy as the monthly payment model, ensuring consistency and fairness. Here’s how cancellations are handled:
- Benefit Usage Review: If a client decides to cancel their membership, we will assess the benefits used in the plan compared to the total amount paid at the time of enrollment. These calculations are made by the product in the “Manage Membership” portion of the Care Tab. Once calculations have been made, the hospital team can process the cancellation, the system will then update the Pet’s Care status and Activity Log.
Benefits of the Paid In Full Process
- Convenience: Clients avoid monthly payments, opting instead for a streamlined, one-time transaction.
- Predictability: Clinics benefit from clear and immediate revenue, allowing for improved financial planning.
- Consistency: The cancellation policy aligns with the monthly payment model, providing clients with a transparent and standardized approach to service usage and refunds.
The Paid In Full process enhances flexibility in payment options while maintaining the same quality of care and support for clients. This option offers clients options, peace of mind, and the security of knowing their pets’ anticipated annual care is paid for.
