Mass Text Alerts lets a clinic user create and send a text to all clients with upcoming appointments to share an informational message. This feature is not intended for marketing messages — it's intended for informational messages.
Who can use this feature
- The clinic must have 2-way texting enabled.
- The feature is only available to clinic users with the Admin role.
Who can be sent texts via this feature
- Clients/pet parents with an appointment in the future at the time the text is sent.
- One text is sent per client, regardless of how many appointments that client's patients have within the timeframe.
- Maximum of 7 days of range to select appointment contacts, but no limit on how far in the future you can select a range.
About sending the text messages
- There's no limit to the number of alert texts you can send.
- Alert texts are rate-limited so they don't interfere with Conversation texts. Sending to 10 people takes about 2 minutes; sending to 100 takes about 20 minutes.
- These texts don't create new conversations unless the client responds. If they do respond, it adds to an existing Active Conversation with the client, or creates a new one if none exists.
How to send a Mass Text Alert
- Open the Mass Text Alerts tab on the right-hand side of the screen.
- Select a time range and type a message. Selecting an option other than a custom date range selects "rest of" and whole-day increments; to pick specific times, use the Custom Date Range option.
- Once you select a time range, the number of unique recipients is calculated and the appointment time range being messaged is shown. Each client gets only 1 text per send, regardless of how many appointments fall in the selected range.
- Type your message — the remaining character count shows as you type.
- Click Send. You'll see a confirmation message before it goes out.
- After clicking confirm, a new entry appears in the activity section for the message just sent.
- Once the message has been sent to all recipients, an active download link and a status line show whether all messages sent successfully.
A green status means all messages sent successfully. A red status means at least one message didn't go through, and the entry shows the exact number that failed. Click the download link to see who failed to receive the text and why.
The report file contains these columns:
- Client Full Name
- Client Phone Number
- SMS Status
- Error Details
- Message Text
- Timestamp
Use the report to determine who didn't receive the message and find an appropriate alternate way to reach them.
