How Otto uses Planning Guides

ezyVet is highly configurable and every clinic might do things a different way. Here's what to expect from Otto's Planning Guides integration and things to be aware of.

  • For Otto, a planning guide determines what doctors and appointment types are bookable during that time slot.
  • Whitespaces - areas in your calendar where there is neither a planning guide nor an appointment - are available for any appointment type and any available doctor, even if a planning guide for that appointment type exists elsewhere. To make whitespace not bookable instead, turn on Treat Whitespace as a Blockoff (see below).
  • Otto supports overlapping planning guides. If two planning guides for different appointment types co-exist in the same time slot, both kind of appointments are bookable.
  • Exclusionary Time Slots work alongside planning guides and further restrict. If an exclusionary time slot is configured for the same time slot, appointment type, and doctor as a planning guide, then the time slot will not be available.
  • Block-off Appointment Types configured in Otto are a safeguard. Even if the appointment type is "available for direct booking", if it's also configured as a blockoff then it will not be available.

Treat Whitespace as a Blockoff

By default, whitespace is bookable for any appointment type. If your clinic uses planning guides to lay out the whole bookable day, you can turn on Treat Whitespace as a Blockoff so clients can only book times covered by a planning guide.

To turn it on, go to Settings > Appointments > Direct Booking. Under Planning Guides, turn on Treat Whitespace as a Blockoff. The toggle only appears once Enable Planning Guides is on, and only clinic admins can change it.

Setting Off (default)
Setting On
Time inside a planning guide
Bookable for that guide's appointment type(s)
Bookable for that guide's appointment type(s)
Whitespace (no guide, no appointment)
Bookable for any appointment type
Not bookable
Time with a booked appointment
Not bookable
Not bookable

Example: Dr. Smith has a Consult planning guide from 1:00–5:00 PM and nothing else scheduled on Tuesday. With the setting off, clients can book a Consult from 1:00–5:00 PM, plus any appointment type in the open morning. With it on, clients can only book a Consult from 1:00–5:00 PM.

Before you turn it on:

  • Every provider who should be bookable needs planning guides. A provider with no planning guides in ezyVet will show no Direct Booking availability.
  • Every appointment type you want bookable needs a planning guide. If an appointment type isn't covered by any planning guide for a provider, clients can't book it with that provider.
  • Office Hours, Advance Booking Limitations, Exclusionary Time Slots, and Block-off Appointment Types still apply on top of this setting.
