Clinics must first have service reminders enabled to send out digitally- to find out how to set up service reminders, click here.
To get started:
1. Navigate to Settings>Service Reminders>Postcards Tab
2. An email address that is associated with the clinic will need to be entered for billing alerts and to use as an identifier to log in and view the postcard report
3. Once an account is created, money will need to be added to the account to create a postcard fund
💡Postcards are $0.77/postcard
💡Clinics will need to add funds in order for postcards to start sending
💡DocuPost will email the clinic address on file when their balance goes below $50 and then again when it hits $0.
💡If a clinic runs out of funds, postcards will not queue up to send for the next time the clinic puts in money. If a postcard tries to send on the due date and can’t for any reason (no address for the client, no money in the clinic’s account), the postcard will fail.
💡Clinics must have their address and logo filled out in their general settings in order to send postcards
4. After postcards have been enabled, active service reminders will need to be updated to include the postcard delivery option, to learn how to update service reminders - click here.
How it works
- Postcard service reminders get sent out on the due date. This means that any pre-due date timings for digital reminders will send out (if set up), and then the postcards will send. This is to encourage clients to book digitally first, and use postcards as a safety net (this can also save you money!)
- Postcards are only sent if the client has a valid address in the practice management software (line 1, city, state, zip). If there is a partial address or no address, a postcard won't get sent
- The postcard will have all of the pets due for that client (the same way digital reminders are coupled)
- The postcard will also have a QR code to scan that will lead them to their service reminder form.
- Clinics can view a report of all their postcards sent and status of postcards by clicking "View Postcards" in the Postcards tab
