Set up process
- First clinics must have service reminders enabled digitally
- If a your clinic has service reminders set up, the postcards tab in settings will automatically appear for you to set up on their own.
- Set up is done inside of Settings > Reminders > Postcards tab
Your clinic will need to put in an email address that is associated with the clinic for things like receipts, any important billing notices, and to use as an identifier to log into your postcard report (if you ever want to see if a postcard was sent to a client)
- Once you create an account, you will need to input money into your account to use for funds to send postcards (more on pricing below).
- clinics can always disable postcards if needed with a "disable" and "enable" button inside of their settings page
- Clinics must have their address and logo filled out in their general settings in order to send postcards
How it works
- postcard service reminders get sent out on the due date. This means that any pre-due date timings for digital reminders will send out (if set up), and then the postcards will send.
- This is to encourage clients to book digitally first, and use postcards as a safety net (this can also save you money!).
- postcards are only sent if the client has a valid address in the PIMS (line 1, city, state, zip). If there is a partial address or no address, a postcard won't get sent
- For right now we have one template for all clinics to use. Let your CSM know if you have questions on this
- The postcard will have all of the pets due for that client (the same way digital reminders are coupled)
- The postcard will also have a QR code to scan that will lead them to their service reminder form.
- Clinics can view a report of all their postcards sent and status of postcards by clicking "View Postcards" in Otto
Pricing
- postcards are 77 cents/postcard for everyone. Clinics will provide their credit card number on the sign up page inside of Otto's postcard tab in settings.
- Clinics will need to input money in order for postcards to start sending
- Docupost will email the clinic address on file when their balance goes below $50 and then again when it hits $0.
- If a clinic runs out of funds, postcards will not queue up to send for the next time the clinic puts in money. If a postcard tries to send on the due date and can’t for any reason (no address for the client, no money in the clinic’s account), the postcard will fail.
