To get started with viewing data around clinic performance, navigate to Reporting on the left hand menu and then click on Clinic Performance Report.
The Clinic Performance Report offers you a view of your clinic performance at a glance: It contains information about all of the ways that your clinic is using Otto Flow. The report results are clickable, which will allow you to drill down into those results and see specific data that fueled the calculation.
The report is also filtered to show the last thirty days so that the data presented is always relevant to how your clinic is performing, as opposed to being more useful at the end of a month or quarter.
Otto Savings
The first grouping of results within the Clinic Performance Report shows the time saved across your clinic through the use of Otto Flow.
Specifically, it calculates the number of unique conversations that occurred within each day, including ones that started via an automation. So this number is indicating conversations that are taking place via text or email, when otherwise, that would require a phone call.
Based on our data, the average phone call to or from a clinic takes about seven minutes to complete. By combining this information with the number of conversations that took place, the report also calculates time saved by the clinic in the last 30 days by using Flow instead of having phone conversations.
The grouping also teases out the number of conversations that were started by an automation, showing how many of the total conversations did not even require human intervention to initiate. This is especially useful for highlighting the value of automated appointment reminders, which would otherwise require a member of staff to message a client directly.
Finally, the Otto Savings grouping also shows all inbound widget requests broken out by request type. Like the automated conversations, each of these requests represent a phone call that did not need to take place, saving clinic staff time (and hopefully a little stress).
Payments
The next grouping within the Clinic Performance Report shows some data about your clinic’s use of Payments within Flow. However, clinic-specific data will only be here if your clinic is on Payments in Flow.
If your clinics is using Payments, the number of transactions in the last thirty days, as well as their total and average values will be captured and displayed here.
Regardless of whether your clinic is currently using Payments or not, you will see that the average monthly savings of clinics that use Otto Payments is $850 per month. This is based on how much Otto saves the average clinic per month in merchant fees—it even doesn’t include increased revenue from fewer no-shows, or subscription money saved from consolidating platforms!
Clinic Metrics
The final grouping in the Clinic Performance Report shows data about your clinic’s overall performance. Where Otto Savings shows the value to the clinic of using Otto Flow day to day and month to month, Clinic Metrics shows how your clinic is performing overall, providing clinics a high level view of the last thirty days. In this section you can see:
- The number of widget requests that came through in the last thirty days
- The number of messages sent in the last thirty days
- The number of new patients added in the last thirty days
- The number of Otto app installs by clients
You can click on any of these numbers to see their underlying data, and even download those data as a spreadsheet if you would like to have a record.
If your clinic is using Flow to send out surveys to clients after appointments, the customer satisfaction rating will display here as well.
Finally, you can also see the appointment confirmation rate by clients in the last thirty days.
