Why use team chat?
Team chat within Otto Flow provides a centralized platform for real-time communication among veterinary team members. With team chat, the clinic team can access conversations and information from anywhere at any time, as long as they have an internet connection. This is especially useful for teams working in different locations or shifts, as it ensures that everyone stays connected and informed regardless of their physical location.
Getting Started with Team Chat
To begin using Team Chat, navigate to Team Chat in the left hand menu.
Creating Channels
Within Team Chat, the clinic team can create channels to start discussions. Channels provide a way to organize discussions based on specific topics, teams, or departments. Instead of having one large conversation where various topics are mixed together, channels allow for focused discussions in separate threads. This helps to keep conversations organized and makes it easier to find relevant information later on.
💡Channels can be made private to only certain team members (by invitation only) by toggling on the Make Private toggle
💡If a user leaves the private channel, they must be invited back in if they want to join again
💡 The channel name can be edited at any time
💡Private channels cannot be changed to public after creation
💡Members can only be added to private channels, never removed
To create a channel, click the + next to Channels.
Starting a Direct Message
Direct messages provide a secure and private way to communicate sensitive information among clinic staff and allows for one-on-one conversations without the need for other team members to be involved.
💡Best Practice: This feature is ideal for clinics that have multiple users
💡Clinic users can direct message one or more coworkers at a time in a private message
💡Clinic users can delete direct message channels
Team members can direct message each other by clicking the + next to Direct Messages.
Team Chat Features
Team Chat offers team members the ability to customize messages by adding emojis and GIFs.
Within chat, message templates, video chat, attachments and the VIN search function are available.
Team Chat Notifications
Team Chat's notifications functionality works the same as client conversations: badge count in the navigation bar, and sounds, browser notifications, email/SMS notifications are available. A user will only receive notifications for those team channels on which they're added as participants.
Deleting Messages
Clinic admins can delete channels and messages within chat. To delete messages, click on the 3 dots located by hovering over the conversation.
A message stating ‘This message is no longer available’ will appear.
