Understanding Surcharging
Surcharging allows veterinary clinics to pass on the credit card processing fees to pet parents who choose to pay with a credit card. This feature is beneficial as it helps clinics offset the costs associated with credit card transactions. It's important to note that surcharge fees cannot be applied to payments made with any card type other than credit cards. With Otto Pay, clinics can seamlessly incorporate surcharging into their payment processes.
Using the Surcharging Feature
Once this feature is turned on for your clinic, you can collect client fees when you collect payments in Flow and via terminal, in conversation/Text to Pay, Side Panel Payments, Side Panel send to Terminal Payments.
Any time you are adding client fees, it shows up in: Payments Reporting, Stripe, Flow Invoice/ Receipt, and Refunds from Flow.
*Note: Fees do not write back to your PIMS.

Using the Surcharging Feature in the Flow Side Panel
- Collecting Payments: When collecting a payment via the side panel, client service fees are enabled by default - this fee is applied only to credit card payments.
- Card Details: Once card details are entered or selected from saved payment methods, the user interface will update to display the detected card type beneath the card details.
Using the Surcharging Feature in Conversation/Text-2-pay:
Identify Payment Type: To determine the client's payment type, ask or verify which type of card they are using (credit/debit/other).
- Credit Card: If using a credit card, send the payment request with the client fees box checked.
- Other Payment Methods: If using any method other than a credit card, uncheck the client fees box to ensure no fees are included.
Note: This process will be automated by the end of the year to streamline the checkout process further.
