For appointment types that have an intake or drop-off window that differs from the scheduled appointment time in your practice management system, you have the option to set an alternate display time that will show to pet parents in their Pet Portal.
Otto Flow Settings:
- Like other settings this will only display to Otto Flow Admin users.
- Navigate to the Appointments settings page in Otto Flow, and select the pencil (edit) icon next to the appointment type you need to set the drop off window for
- Clicking this icon will populate the appointment type edit modal where you will see the option to toggle on 'Display Drop Off Time'
- Once toggled on, two required input fields will populate for the 'start' and 'end' drop off times.
- The end time must be later than the 'start time' value
- Click into the input field to populate the time picker modal
- Once you have successfully picked the drop off times you want, click the save button in the edit modal to apply your changes
💡Tip:
Don't forget to toggle on the 'Show appointments in Pet Portal' option at the top of the Appointment Types Settings page, as well as the 'Show In Pet Portal' toggle next to the individual appointment types you want to show to ensure these changes are visible for pet parents in their Pet Portal.
What this looks like for your Pet Parents:
In the Pet Portal, pet parents will see this change applied in the following ways
- In the 'Upcoming Appointments' section of their Home Page
- We will append (Drop-off time) to the end of the appointment type (or appointment type display name if one is set)
- Instead of the scheduled appointment time we will show the drop off window you have specified in settings
- If the pet parent selects the add to calendar option they will see these same changes in their calendar
- These same changes will also be visible in the 'Upcoming Appointments' section of the pet profile, appointments tab
- If the appointment type does not have a set drop off time, the appointment will display the regular appointment type (or display name) without (Drop-off time) appended, and the scheduled appointment time
- If your clinic utilizes our Direct Booking feature for appointment booking, and one of the appointment types that you allow clients to directly book has a set drop off time, there will be a couple of other changes pet parents can see:
- In the confirmation screen of the Direct booking request, we will append the drop off time below the selected appointment time
- In the details of their submitted request within the conversation pet parents will also see a 'Drop off Time' section beneath the scheduled appointment time
