Using Client Alerts in Otto

Client Alerts help your team flag important information about a client and control how that client interacts with your clinic. Alerts appear directly on the client’s profile and can include optional restrictions—such as blocking Direct Booking.

What are Client Alerts?

Client Alerts allow you to:

• Add notes your team should be aware of
• Highlight special handling needs or important client behaviors
• Restrict how certain clients use features like Direct Booking
• Ensure your whole team sees the same information at the right time

Client Alerts are visible to all Otto users and appear directly on the client’s profile.

How to Create a Client Alert

1. Go to Settings > Client Alerts

From the menu in Otto, navigate to:

Settings → Client Alerts

2. Click Add Alert

You’ll be asked to:

• Choose the client
• Enter the reason for the alert
• Select any feature restrictions (optional)

Restrictions allow you to control how a client interacts with specific parts of Otto.

3. Review the Alert on the Client Profile

Once active, the alert will automatically appear on the client’s profile for your team to see.

Using Alerts with Direct Booking Restrictions

If a client has an active alert that includes a Direct Booking restriction, Otto will automatically prevent them from booking through your clinic’s web widget.

When they try to schedule online, they’ll see a message letting them know their request can’t be completed and that they need to contact the clinic directly.

This ensures cases that need extra attention are handled by your team rather than moving through automated booking.
