Otto Direct Booking can be set up to match your clinic’s workflow and preferences. To do this, we want to make sure your practice is aware of Impromed's settings that will affect Otto Direct Booking.
How Otto Interprets Impromed Data
Understanding this is critical for a successful setup:
- Resources in Impromed = Rooms in Otto: Otto's Direct Booking interprets Impromed Resources as rooms where we will search for availability.
- Employees in Impromed = interpreted as Providers: Otto reads Employee names as provider names
- Best Practice: Name your Resources (rooms/columns) after your veterinarians for Direct Booking to work properly.
Step 1: Set Up Doctors as Both Employees and Resources
For Direct Booking to work with Impromed, each doctor must be configured in two places:
A. Set up as an Employee
- Navigate to your Employee management in Impromed
- Create or verify each doctor is listed as an Employee
- Ensure each doctor has both a first and last name entered
- If you'd like Doctors to show up to clients as “Dr. X”, please add "Dr.” to the veterinarian's name instead of “Dr.” as a prefix. For now, Otto can't read prefixes.
B. Set up as a Resource (Room/Column)
- Navigate to your scheduling Resources
- Create/Validate you have a Resource (room/column) for each doctor that will attend Direct Booking appointments.

- An Employee record: "Dr. Sarah Martinez"
- A Resource (room): "Dr. Martinez" or "Dr. Sarah Martinez" </aside>
Step 2: Verify Your Impromed Calendar Setup
Before enabling Direct Booking, ensure:
✅ You have a Bitwerx integration installed (required for Direct Booking
✅ Resources (rooms) have appropriate availability windows set
✅ Your appointment calendar is properly configured in Impromed
✅ Any block-off times or staff time off is entered in Impromed
